3 Ways to Connect Claude to Your Business (And the 1 Thing You Should Never Do)

8 June 2026 · 6 min read

Most people use Claude to write emails or brainstorm ideas. That's fine. But that's 1% of what it can do.

Claude now connects directly to the tools you already use — your Gmail, your Google Drive, your calendar, your CRM. One click. No code. No developer. It reads your actual data and works with it.

Anthropic launched "Claude for Small Business" in May 2026 — pre-built workflows that connect to QuickBooks, PayPal, HubSpot, Stripe, Square, Canva, and Google Workspace. They also have 200+ connectors in their directory that anyone can install.

Here are the three connections that deliver the most value — and the one shortcut that could cost you everything.

1. Connect Claude to Your Gmail

How: Open Claude. Click "Search and tools." Find Gmail. Click Connect. Log in with your Google account. Done. 30 seconds.

What you can do once it's connected:

  • "Show me every email I haven't replied to in the last 7 days" — Pulls them all up. You can see exactly who's waiting on you.
  • "Draft a reply to each one" — Writes a response for every unreplied email, in your tone. You review, tweak, send.
  • "Summarise the last 20 emails from [client name]" — One-paragraph summary of the entire thread: what they asked, what you agreed, what's outstanding.
  • "Find every email mentioning an invoice from the last 30 days" — Pulls them all. No more searching.

Why this matters: The average small business owner spends 2-3 hours a day on email. Half of that is finding things, the other half is writing replies you've written a hundred times before. This doesn't replace your inbox — it clears the backlog and drafts the boring ones so you can focus on the ones that actually need you.

Time saved: 5-8 hours per week.

2. Connect Claude to Your Google Drive (or Notion)

How: Same process — "Search and tools," find Google Drive, click Connect, authenticate. One click.

What you can do once it's connected:

  • "Find the proposal I sent to [client] last month" — Searches your Drive and pulls it up. No more scrolling through folders.
  • "Summarise this 40-page contract and flag anything risky" — Reads the full document. Gives you a plain-English summary with risk flags.
  • "Write a new proposal based on my last 3 proposals" — Pulls your existing proposals, learns your format and pricing, drafts a new one.
  • "Create a one-page FAQ from our last 10 customer complaint emails" — Cross-references Gmail and Drive. Builds the FAQ. You review and publish.

Why this matters: Every small business has a Google Drive full of documents nobody can find. Proposals you wrote 6 months ago. Contracts you need to reference. Templates you keep recreating from scratch. Claude turns that mess into a searchable, usable knowledge base — without you reorganising anything.

Time saved: 3-5 hours per week.

3. Turn On "Claude for Small Business" (The Full Workflow Engine)

Anthropic built a pre-loaded set of 15 workflows specifically for small business owners. It connects to QuickBooks, PayPal, HubSpot, Stripe, Square, Canva, Gmail, and Google Calendar. You don't type commands — you speak plain English.

How: In Claude Cowork, look for the Small Business toggle or install the plugin from the directory. Connect the tools you use. Start talking.

What you can say:

  • "Can I make payroll this month?" — Runs a 30/60/90-day cash forecast. Flags risks. Chases overdue invoices.
  • "Who should I call today?" — Scores your HubSpot leads by engagement and urgency. Gives you a ranked list with talking points.
  • "Close the books" — Reconciles QuickBooks against PayPal/Stripe/Square. Flags discrepancies. Writes your P&L. Exports the close packet.
  • "A customer is angry" — Pulls order and refund history. Drafts a reply that matches the tone. Can issue a PayPal refund with your approval.
  • "What should I charge?" — Calculates margins by product/service. Gives you three pricing scenarios with inflation benchmarks.
  • "Run a campaign" — Analyses what's selling. Builds a content brief. Creates Canva assets. Stages the campaign in HubSpot.

Every workflow pauses and asks permission before it does anything. No surprises.

Why this matters: Enterprises have finance teams, CRM admins, and marketing coordinators doing all of this. You have you. This is the gap closing — the same capability, delivered through a single conversation, for the price of a Claude subscription.

Time saved: 10+ hours per week (depending on how many tools you connect).

The 1 Thing You Should Never Do: Connect Claude Directly to a Live Database With Client Data

Some plugins let Claude connect directly to your database — Supabase, Airtable, PostgreSQL, or wherever your actual client records, financial data, or health information lives. The promise is compelling: ask Claude a question, it queries your database, gives you the answer.

Why it's dangerous:

  • No sandbox. Unlike a browser extension, Claude plugins run with your full system privileges. There's no containment. If a plugin can read one table, it can read all of them.
  • Anthropic doesn't audit plugin code. They review connectors against listing criteria, but they explicitly say they don't security-audit the code. You're trusting the developer.
  • Vulnerabilities already exist. A flaw found in January 2026 (CVE-2026-21852) allowed API key theft. Another unpatched pattern lets an attacker's prompt injection upload your files to their account.
  • If you handle health data, the stakes are higher. UK GDPR Article 9 — special category data. Fines up to £17.5M or 4% of turnover.

The safe alternative: Export a CSV. Drop it into Claude. Ask your questions. You get the same answers without giving a plugin permanent access to your live data.

The rule of thumb: You wouldn't give a new hire the keys to every filing cabinet on their first day. Don't do it with a plugin you installed five minutes ago.

How to Get Started (5 Minutes)

  1. Open Claude (Desktop or Cowork)
  2. Click "Search and tools"
  3. Connect Gmail first — it's the quickest win
  4. Try: "Show me every email I haven't replied to this week. Draft a reply for each one."
  5. Once you're comfortable, connect Google Drive and turn on Small Business workflows

Three rules before you connect anything:

  1. Start with one tool. Gmail. Use it for a week. Then add the next.
  2. Never connect a tool that holds sensitive client data unless you've checked the source, reviewed permissions, and have a policy in place.
  3. Export, don't connect for anything involving client records, financial data, or health information. A CSV into Claude is safe. A live database connection is a shortcut that can cost you everything.
